Become a Board Member

Ideal candidates can commit to monthly executive board meetings and the monthly PTA General Membership/SLT meetings. Being that the PTA executive board is comprised entirely of parent volunteers, it is ideal to have 2 people per position, so that the responsibilities are distributed in a fair manner. We understand how busy parents are being parents and professionals. We don't want any one person to be overwhelmed. The more hands helping, the easier it is! 
Procedures and guidelines are all clearly defined to aid you in your role, with checks and balances in place. Transparency is key. Below are the current roles outlined in our bylaws, alongside some of the responsibilities associated with the position.  Please let us know if you have any interest in the positions listed, or if you have any further questions regarding the board. PREsident/Co-Presidents roles and responsibilities

• Preside at all meetings of the Executive Board and the General Membership, and in all other ways act as the Executive Officer for the Organization
• Oversee all PTA fundraising activities and communications and make sure they align with the vision of the school
• Meet/communicate regularly with executive board members in accordance to bylaws to plan the agendas for the general meetings
• Delegate responsibilities to other members and encourage meaningful participation in all parent/ school activities
• Act as a liaison to the Administration, be the voice of BCS parents and report back to parents
• Attend all Presidents' Council meetings, and serve as mandatory member of the school leadership team (SLT)
• Serve as eligible signatories on checks

Hours per week:

  • Approximately 5-6 hours per week, although there are certain times a year it could be more

Qualities/skills ideal for position:

  • Leadership and delegation
  • Good time management and organizational skills
  • Someone with flexible work hours, since there are times you must meet with administration during school hours
  • Comfortable speaking to groups of people 
  • Networking
  • Motivational and inspiring

 

treasurer/Co-treasurers roles and responsibilities

• Count, secure, deposit and maintain custody of all monies of the organization
• Record all income and expenses
• Maintain complete, accurate, up-to-date financial records
• Ensure the PTA follows established financial policies and procedures
• Provide financial reports to the Executive Board, General Membership and DOE as required
• Provide financial procedures and guidance to Event Chairs
• Deposit cash/checks in safe or in bank night drop after all PTA events
• Lead the Budget Committee in developing the next fiscal year’s budget

Hours per week:

  • Approximately 2-3 hours per week, although there are certain times a year it could be more

secretary/Co-secretary roles and responsibilities

• Maintain an accurate record of all meetings of the Executive Board and General membership
• Prepare notices, agendas, sign-in sheets and materials for distribution at Executive Board and General Meetings
• Prepare, distribute, and have available, previous minutes for approval at each General and Executive Board meetings
• Maintain custody of the PTA’s records on school property and electronically
• Incorporate all amendments into bylaws and ensure signed copies are on file in principal's office
• Assist with the June transfer of records to the incoming executive board
• Work with committees to get their minutes and file them in the PTA office and electronically
• Distribute physical and electronic communications
• Perform other secretarial duties as necessary.

Hours per week:

  • Approximately 3 hours per week, although there are certain times a year it could be more

Qualities/skills ideal for position:

  • Organization
  • Attention to detail
  • Excellent note-taker
 

Members-at-large roles and responsibilities

• Fill in, in the event a voting quorum needs to be established
• No specific Officer duties; defined during term as needed

Hours per week:

  • Approximately 1-2 hours per week, although there are certain times a year it could be more

Qualities/skills ideal for position:

  • Someone who likes to pitch in and help wherever needed
  • Someone who is looking to get more involved in the PTA, but not quite ready for some of the other roles
